A user writes: I have been using the cite while you write (CWYW) feature with great success. However, part way through my paper, one of the references changed from first initial +last name + date) to add the first name of the author. The earlier portions of my paper continues to just use last name. But using the same citation later on in my paper insists on using first name too. I have gone into the citation itself in Endnote and played with the author name. I have even gotten rid of the author first name and just left first initial. I also ensured I closed, saved, and closed out endnote and restarted it to make sure my change ‘stuck’. But when I go to use the citation, once again it uses the author’s first name even though it no longer appears in the citation record I updated. HELP!
Endnote.Library replies (after seeing the document in action!): What the user was trying to do was force a distinction between different citations made by the same author but from different works. To complicate matters, she confessed that she had been working away in her document without having the corresponding Endnote library open at the same time.
So as she was showing me the problem on her laptop, I spied with my little eye that the 'library' in use was the travelling library. What is a travelling library, you ask?
When you use CWYW, there is a 'traveling library' (note American spelling) created in your document. This concept is more fully explained starting on page 359 of the Endnote X3 User Manual which explains that, 'The first time a citation is formatted, EndNote looks in the open library and finds the corresponding reference. If you later reformat, EndNote again looks in the open library for that reference. However, if the library is not available or not open, EndNote uses the Traveling Library for reference information. .. Because reference data is kept with each formatted citation, you can collaborate with other authors on a paper without each author having the same EndNote library.'
In this case, the user had edited the Endnote library .. but because the citations were now referencing the travelling library, it didn't make a lick of difference, her problem persisted. This was because her document seemed to be locked into the travelling library rather than the original Endnote library.
How did we solve this one?
Well, first we had to break free of the travelling library. We did this by placing our cursor at the top of the first page of the document. We then moved the 'ENDNOTE X3' tab of Word 2007. We clicked on 'Convert Citations and Bibliographies' (on the 'Bibliography' section of the tab) which produces a drop down menu. From the drop down menu, we chose 'Convert to Unformatted Citations.' This turns all the citations into the temporary Endnote references.
THEN we made sure the corresponding Endnote library was open and active.
THEN we made sure the correct output style was selected.
THEN we chose 'Update Citations and Bibliographies' (on the 'Bibliography' section of the tab).
Voila!
The take away message:
If you are working on a document, always have your Endnote library open.
Let Endnote work for you. Based on the output style you select, it will handle the issue of that prolific author whose multiple works you want to cite.
